| Your task | Relevant tool | What to prepare or check |
|---|---|---|
| Maintain guests, RSVPs and seating plans | Wedding Guest List Spreadsheet | Guest names, invitation groups, replies and seating details |
| Organize costs and vendor payments | Wedding Budget Spreadsheet | Budget categories, vendor amounts, payment dates and completed-payment records |
| Combine planning tasks in an app | Digital Wedding Planner App | Budget, guest list, RSVP, seating, checklist and timeline information |
Keep invitations, replies and seats distinct
An invitation sent is not yet an accepted RSVP, and an accepted RSVP is not necessarily a completed seating plan. Keep those steps clear. Decide how you will record a household invitation with more than one guest so counts can be checked against the actual people attending.
Review the guest-list preview for available fields. Keep planning notes consistent as replies change and the seating plan is revised.
Separate planned costs from paid amounts
A budget estimate, vendor quote and payment already made are different figures. Retain the vendor reference and payment date when recording completed payments, and compare like-for-like totals when reviewing the remaining plan.
The budget spreadsheet focuses on costs, vendors and payment records. The guest-list spreadsheet is separate. If you prefer an app covering several planning topics, compare the digital wedding planner's own preview and requirements.
Give each planning update a home
Agree who updates guest replies, vendor records and schedule changes. A shared routine helps keep one current set of information rather than several conflicting notes. Consider whether you prefer Google Sheets, Excel or a focused app, then confirm access and included features on Etsy.
