Rent Ledger, Rental Property & Hospitality Tracking Templates

A rent ledger separates rent charged from payments received so the remaining balance can be checked. This collection brings SheetChief rental-property, landlord and hospitality tools together: rent and income records, reservation calendars, host checklists and maintenance logs. Compare the task and format before choosing a product.

Choose a ledger that preserves each payment

Before selecting a layout, list the facts you need to retain: opening balance, charge date, rent period, payment date, amount and a supporting reference. If a tenant pays in two installments, keep both payments as separate entries rather than replacing the first number. A monthly summary should still lead back to those entries.

Use our free rent balance calculator to check a simple period: opening balance plus rent charged minus recorded payments. A positive result is an amount remaining; a negative result is a credit. It can export an illustrative CSV and does not store your entries on a server.

Keep a clear boundary between related records

A rent ledger, an income-and-expense log and a maintenance tracker answer different questions. Compare the product previews to the task you need to perform. The maintenance spreadsheet is a separate product; a repair entry should not silently change a tenant's rent balance.

Reconcile received payments to the relevant bank or payment-provider records. A payout that combines several receipts requires an explanation; recording the payout as a second tenant payment would double count it. Our reconciliation guide works through this distinction with fictional records.

Review the listing before purchase

Open the Etsy listing to confirm the included files, access method, current price and software requirements. The free calculator and educational examples on this site are separate tools and are not a promise that a paid spreadsheet contains the same columns or automatically imports bank transactions.

These resources help organize and check records. Local rules may affect deposits, payment allocation, notices and fees; the worked examples do not establish those rules. Keep personal information out of public example files and store your working records where only appropriate people can access them.

Questions, answered

How do partial payments affect the rent balance?

Each payment reduces the balance by the amount actually recorded. Keep the original charge and every payment as separate entries so the remaining amount can be traced.

Is the free calculator the paid rent ledger spreadsheet?

No. The calculator checks a simple period's balance in your browser. The paid product is a separate Google Sheets and Excel template described in its Etsy listing.

Does this site collect rent or connect to my bank?

No. Purchases happen on Etsy. The free calculator only works with the figures you enter locally and does not collect payments or connect to bank accounts.
