What to prepare

For the workflow this product is designed around, gather:

  • A consistent reference for each construction job
  • Supplier, subcontractor and other project cost records
  • Progress invoices and the billing period they cover

A practical way to use your records

Assign costs to a job as the supporting records arrive. Keep the amount billed separate from the amount received, then compare your job records with the profit and loss view. Preserve the underlying invoices so a project total can be traced back to its entries.

A worked example

Fictional example: a contractor reviews the recorded costs and billing for one renovation phase before preparing the next progress invoice.

Recorded materials
$3,200 assigned to Job R-14
Recorded labor
$2,400 assigned to the same job
Subcontract work
$900 for the same phase
Progress billing
$8,000 billed; $6,000 received
  1. Assign source documents to the same job and phase so unrelated costs do not enter the comparison.
  2. Review cost totals separately from billed and received amounts, and retain the invoice reference for the unpaid amount.

Result: Recorded job costs total $6,500 and the unpaid portion of the progress bill is $2,000. These two figures answer different questions; the unpaid bill is not an additional job cost.

Fictional figures explain the workflow; they do not represent customer results or guarantee particular template fields. See the included features above and the current Etsy listing.
